Three reminders before you send the PO
I've been ordering lighting for commercial projects since 2017. I've personally made enough ordering mistakes to total roughly $18,000 in wasted material, rework, and expedited freight. I don't say that proudly. I say it because I'm the person who now maintains our team's pre-order checklist, and this is the checklist I wish someone had given me before my first PO.
If you're a contractor, facility manager, or electrical distributor who's tired of solving problems in the field, this article is for you. It is not a lighting design course. It's a “check these six items before you approve the purchase order” guide. I use it for almost every fixture order, including purchases from Cooper Lighting.
Most of my ordering mistakes came from assuming the words on my request matched the words on the manufacturer's datasheet.
When to use this checklist
Use it after the layout is set and before the purchase order goes out. It's especially useful when you're replacing a discontinued fixture, when the job crosses an international border, or when someone hands you a drawing and says “same as last time.” If you're still in design, fixture selection comes first. This checklist will not rescue a bad layout.
The checklist has six checks:

1. Use the manufacturer's product family name, not your own shorthand
My first serious mistake involved the phrase strip LED. Actually, the mistake was thinking that phrase was precise. I meant linear LED fixtures for a cove. I told the distributor I needed “strip LED.” The quote came back for “LED strip,” and I approved it because I assumed they were two ways of saying the same thing. They are not. What arrived was flexible LED tape. No mounting channels, no connectors, no compatible drivers. The order cost about $3,200, and we had to restart the process while the project clock was still running.
Now I open the manufacturer catalog and copy the product-family name before I ask for pricing. If I'm looking for a Cooper Lighting linear fixture, I don't just search “strip LED.” I search the family, then confirm the part number against the cut sheet. If I actually need flexible LED tape for an accent cove, I name it that way and include the full list of accessories in the purchase order.
2. Use photometric data to settle the area light vs flood light question
The area light vs flood light question is common, and the common answer is also misleading. It's not about wattage or brightness. It's about optical distribution. An area light is usually designed to spread illumination over a large horizontal surface like a parking lot. A flood light is usually designed to be aimed from a building or pole to wash a vertical surface or a targeted zone. If you use a flood light where an area light is required, you'll see dark bands between poles regardless of how many lumens the fixture produces.
I still kick myself for a parking lot retrofit where I approved a high-wattage flood light because the price and wattage looked close to the old fixture. The night photos looked like zebra stripes. The question everyone asked was “how bright is it?” The question I should have asked was “what does the IES distribution look like?” If a quote doesn't include IES data, that's a red flag.
3. Put every control and driver requirement on the purchase order
You can select the right product family and still receive the wrong product if the control/driver requirements are missing. Does the driver support 0-10V dimming? Does the project require DALI, Lutron, or a sensor-ready version? Is an emergency battery backup required? Writing “dimming” on the PO doesn't tell the order desk which dimming protocol you need.
This becomes even more important with strip LED tape. Tape usually needs a separate driver, controller, connectors, and possibly mounting channel. If you order the tape only, the accessories come as added items—or worse, they don't come at all. I've had quotes that excluded the drivers because I never listed them. Write it down.
4. Check mounting and physical specs, especially for decorative fixtures like a wall chandelier
Decorative fixtures are where my team learned to stop trusting photos. A wall chandelier is not automatically the same as a wall sconce. It can be deeper, heavier, and have different mounting requirements. The catalog cut sheet will tell you the weight, the backplate or mounting plate dimensions, the required junction box, and the clearance needed. The fixture photo will not.
A few years ago, we specified 12 wall chandeliers for a hospitality corridor. The elevations looked perfect. What I didn't check was the physical mounting details. The fixture's rough-in requirements were different from what the electrical drawings assumed, so the crew had to move boxes and repair drywall in 12 locations. That rework cost about $1,850, plus a few unpleasant conversations. The cut sheet would have caught it in five minutes.
5. Confirm certifications and country requirements before you place the order
The most expensive “working product” I ever received was a fixture that worked electrically but couldn't pass inspection. The purchase order went through Cooper Lighting LLC, and the fixture had a UL listing. The project's final destination was in Mexico. UL is well respected in the U.S. and Canada, but the local authority wanted the Mexican safety certification, NOM. The paperwork gap delayed the project for more than a week.
Now I ask about the ship-to country before I issue the PO. For projects going to Mexico, I contact the local distribution channel—often Cooper Lighting Mexico—and ask them to confirm the NOM status, voltage compatibility, and any other local requirements. Certifications are not a post-shipment surprise you want to manage.
6. Check the lifecycle status and substitution before trusting an old part number
After Signify acquired Cooper Lighting in 2020, a lot of legacy product numbers went through transitions. That's not a quality complaint. It's an ordering reality. Old part numbers from 2018 or 2019 catalogs don't always have inventory behind them.
When a part has changed or been discontinued, the distributor may offer a substitution. The replacement might have different dimensions, a different driver, or a different trim. It could look like the same family but not fit the existing mounting layout. Ask the rep for the current equivalent, then verify the physical size, optical performance, and control compatibility before you change the PO.
Three reminders before you send the PO
Even with this checklist, I still have to remind myself of three things:
- Don't buy from a photo. Buy from a cut sheet.
- Don't let “same as last time” replace a current spec check.
- Don't keep control requirements in conversation. Put them in the purchase order.
Bottom line: Most expensive lighting mistakes are not engineering failures. They are order-entry assumptions. If you choose the right product family, check the photometrics, confirm the mounting details, controls, certifications, and lifecycle status, you'll avoid the surprises that turn a normal order into an expensive lesson. This checklist has already saved our team far more than my first strip LED mistake cost us.
