Is It Hard to Replace a Light Fixture? A Cooper Lighting Procurement Checklist

When this checklist helps

If you are the office administrator who gets asked to replace a burned-out light fixture, you may be wondering: is it hard to replace a light fixture? The honest answer in a commercial building is: the wiring is not your problem. Getting the right product, the right paperwork, and the right person to install it is the hard part.

I am an office administrator for a 40-person engineering firm. I handle all the maintenance ordering — roughly $30,000 a year across 8 vendors. This is the checklist I use when we need to replace a fixture in an office, storage area, or lobby. Use it if you need a no-nonsense replacement process. Skip it if you are dealing with a hospital or a lab; those jobs need a facilities engineer, not a checklist.

Bottom line: this is a six-step buying and installing checklist.

Step 1: Start with the existing fixture

Don't order anything yet. Look at the fixture you are replacing. Find the label. It will show the model number, voltage, UL listing or equivalent, and maybe a date. Write that down.

Why? Because the Cooper Lighting catalog (or catalogo, if your maintenance lead reads Spanish — ours does) is huge. You can't search it effectively if you don't know what you are replacing.

If you don't have a label, take photos from different angles. Note the ceiling type, the grid size, and the mounting. If it's a troffer in a suspended ceiling, measure the grid. If it's a downlight, check the housing size. Is it 4-inch, 5-inch, or 6-inch? That is a deal-breaker: the new trim has to fit the housing.

Check voltage and wiring

Most commercial fixtures are 120V or 277V. Some are 347V in Canada. If you order the wrong one, you will find out after the electrician arrives. That wastes a trip and a bill.

Step 2: Go to the catalog with exact numbers

Now you can use the Cooper Lighting catalog. Search by catalog number, not by category. If you know, say, a Metalux 2x4 troffer, pull the spec sheet and check the exact catalog number. (Should mention: the catalog number includes driver, CCT, and options. It is not optional.)

When I started, I compared two fixtures side by side and couldn't understand why one was $80 more. The difference was a 0-10V dimming driver. That is when I learned to read the full catalog number. If you can cross-reference the old catalog number, ordering the replacement is a no-brainer.

If you are browsing the Cooper Lighting catalogo in Spanish, the format is the same. The product codes don't change. The descriptions do.

Avoid the temptation to buy based on a photo. Lighting fixtures tell you more in the spec sheet than the picture. 'This looks close' is how you get a fixture that doesn't fit or isn't the right color temperature.

Step 3: Use the layout tool before you buy

This is the step that feels unnecessary until it saves you. For a single fixture replacement, you probably don't need a full photometric layout. But if you are replacing two or more in an open office, use the Cooper Lighting layout tool to check spacing and light levels.

When we changed our conference room from fluorescent troffers to LED panels, the sales rep said 'just match the wattage.' I didn't fully understand why that was wrong until I ran the layout tool. The LED fixture produced similar lumens at lower wattage. Put another way: wattage tells you energy use, not light output.

The layout tool also helps with controls. If you are adding occupancy sensors or daylight dimming, the tool shows where the sensors need to go. That is how you turn a fixture swap into a lighting system instead of a hodgepodge of random parts.

Not every distributor will run the layout for you. But you can ask, or ask the rep to send the IES file and compare it in the tool. I should add: the layout tool won't tell you if a fixture looks good. That is why I still keep samples for visible areas.

Step 4: Check compatibility with your controls

Here is where many replacements fall apart. You can pick the right size and the right color, but if your room uses a 0-10V dimmer, a step switch, or an occupancy sensor from a different manufacturer, the driver has to be compatible with that.

I learned this the hard way. One of my biggest regrets: buying standard fixtures without checking whether they could work with the existing sensors. The sensors worked, but the fixtures flickered at low levels. We had to reorder, and the first order went into storage.

So add this to your checklist:

  • Does the fixture have a dimming driver that matches your control protocol?
  • Is the sensor rated for LED loads?
  • Does the emergency lighting circuit need a separate emergency driver or a battery backup?

The last one is easy to forget. If a fixture is on the emergency circuit, you cannot always swap it for a standard LED fixture. You need a fixture with internal emergency battery, or an emergency driver. Check the label.

This is also where regulations come in. UL 1598 covers luminaire safety for most commercial fixtures. If you are in California, Title 24 often requires occupancy sensors in office spaces. And rebate programs usually require DLC-listed products. I don't chase every rebate, but I do check the DLC list before finalizing an order because that can decide which model we buy.

Step 5: Confirm lead time and spare parts

Had 2 hours to decide once because our CFO wanted a burned-out fixture in the lobby replaced before a client visit. Normally I would get another quote, but there was no time. I went with the usual distributor based on trust. It worked, but only because we already had the specs from the layout tool.

If you can avoid that kind of rush, do it. Commercial LED fixtures usually run a few days to a few weeks on lead time. Ask for a ballpark lead time before you promise a date. If the fixture has to be manufactured, lead time can be 4-6 weeks. Don't leave it up in the air.

The vendor failure in March 2023 changed how I think about backup planning. One critical deadline missed, and suddenly a spare fixture didn't seem like a luxury. Now I order one spare for every model we have more than four of. (Note to self: I still need to do this for the exit signs.)

Also check the warranty. Most brands publish warranty terms in the spec sheet. I don't get too deep into warranty language, but I do print the page and put it in the file with the invoice.

Step 6: Schedule the replacement and verify the paperwork

The installation is the shortest part. A licensed electrician can swap a troffer in under an hour, usually. But you need to coordinate a few things:

  • Schedule off-hours if the room is used during the day.
  • Tell the electrician to bring the old fixture down carefully and dispose of it. If it is fluorescent, check local disposal rules — you can't always throw it in a dumpster.
  • Ask for the final invoice with the catalog numbers. A proper invoice matters more than you think. The vendor who couldn't provide proper invoicing cost us $2,400 in rejected expenses when I first took over purchasing. Now I verify invoicing capability before placing any order.

After installation, walk the space. Turn the light on. If it uses a sensor, wait for the sensor to time out and trigger again. It is easier to fix a wiring issue before the electrician leaves the building.

What about decorative fixtures like a flat chandelier?

If you are replacing a flat chandelier in a lobby or meeting area, the checklist changes. The Cooper Lighting layout tool is less useful for a decorative piece; instead, you need to match the aesthetic, finish, size, and hanging height. Measure the ceiling height and the space below the fixture. A flat chandelier is called 'flat' for a reason — it hugs the ceiling — so you don't need a lot of clearance, but you still need a ceiling box rated for the weight.

In that case, honest advice: don't ask the distributor for the cheapest option. Ask for the one that fits the existing ceiling support and the room's proportions. A decorative fixture that is too small can make a lobby feel empty; one that is too large becomes an obstruction.

One more reminder about 'is it hard to replace a light fixture?'

It is not hard if you treat it like a purchasing decision. It is hard if you skip the specifications. The wiring is basic for a licensed electrician. The replacement is hard when the wrong fixture shows up, the control protocol is incompatible, or the invoice doesn't match the quote.

Things I won't do anymore: skip the layout tool, trust 'this looks compatible,' and order without a written lead time. Two red flags I watch for: a supplier who can't provide a spec sheet and a catalog number that doesn't match the order. Both are deal-breakers.

If you are in a standard office building and you have a little time, this checklist will get you through. If you are dealing with a special occupancy or a decorative fixture, get more help before you buy. But for most of us, replacing a light fixture is a process, not a puzzle.
